The Complete Espresso Machine Maintenance Schedule
Consistent maintenance is what separates a commercial espresso machine that lasts 10-15 years from one that breaks down in three. At Passport Coffee, our in-house service technicians have maintained and repaired espresso equipment for over 40 years and the machines that stay in peak condition are always the ones with an owner who follows a regular maintenance routine.
Use this schedule as your go-to reference. Print it out and post it at your bar.
✅ Daily Maintenance — Every Day, Every Shift
Before Service Starts:
- [ ] Run water through each group head for 30 seconds to flush overnight residue
- [ ] Check water reservoir level (or confirm water line is open and flowing)
- [ ] Verify machine is at operating temperature before pulling first shot
- [ ] Inspect steam wand tips : clear any dried milk residue with a damp cloth
During Service:
- [ ] Flush group head 3–5 seconds before each shot
- [ ] Knock out portafilter and rinse basket after each drink
- [ ] Purge and wipe steam wand after every single use — every time, no exceptions
- [ ] Monitor shot timing — alert if consistently under 22 or over 35 seconds
End of Day / End of Shift:
- [ ] Backflush each group head 5 times with clean water (blind basket, no detergent)
- [ ] Wipe down group heads and portafilter handles
- [ ] Empty and rinse drip tray
- [ ] Soak steam wand tip in hot water for 10 minutes; wipe clean
- [ ] Empty and clean knock box
- [ ] Wipe down machine exterior with a damp cloth
✅ Weekly Maintenance — Once Per Week
Group Head Deep Clean:
- [ ] Backflush each group head 5–8 times using espresso machine detergent (EVO, Cafiza or Puly Caff)
- [ ] Follow immediately with 5+ clean-water backflush cycles to remove all detergent residue
- [ ] Remove and soak shower screens in cleaning solution for 20–30 minutes
- [ ] Scrub shower screens with a soft brush; rinse thoroughly before reinstalling
Portafilters & Baskets:
- [ ] Soak portafilters and baskets in espresso cleaner solution for 20 minutes
- [ ] Brush clean, rinse thoroughly, and dry
- [ ] Inspect baskets for stretched or clogged holes - replace if shots are channeling
Steam Wands:
- [ ] Remove steam tip and wipe down all components in steam wand with cleaner
- [ ] Use a pin or cleaning tool to clear all steam holes
- [ ] Inspect O-ring on steam wand - replace if cracked or leaking
Grinder:
- [ ] Wipe down hopper with dry cloth
- [ ] Check and calibrate grind setting after cleaning (cleaning can shift burr position slightly)
General:
- [ ] Inspect all group head gaskets — note any cracks or flattening
- [ ] Check that machine feet are level (vibration can shift the machine over time)
- [ ] Wipe down all surfaces, including underneath the drip tray
✅ Monthly Maintenance — Once Per Month
Scale & Water System:
- [ ] Test water hardness with a test strip — if over 75 ppm, consider descaling soon
- [ ] Replace inline water filter cartridge if pressure has dropped noticeably
- [ ] Check water softener resin tank and regenerate if needed
Machine Inspection:
- [ ] Inspect all visible hoses and fittings for signs of wear, cracks, or leaks
- [ ] Check portafilter spring mechanism for tension
- [ ] Test all group heads for even flow distribution
- [ ] Inspect steam boiler pressure via pressure gauge (should be at manufacturer spec)
Grinder (Monthly Deep Clean):
- [ ] Vacuum grounds from hopper and doser/grinding chamber
- [ ] Inspect burrs - call for replacement if visibly worn or rounded
- [ ] Clean grinding chamber with a dry brush; remove all packed coffee
✅ Annual Professional Service
Even with perfect daily and weekly maintenance, every commercial espresso machine should receive a full professional service once a year or every 2 years for lower-volume home machines.
Annual professional service includes:
- Full internal inspection and cleaning
- Replacing worn gaskets, O-rings, and seals
- Solenoid valve inspection and cleaning
- Group head calibration
- Boiler inspection and descaling
- Pump pressure calibration
- Water system inspection
